Microsoft Office OneNote 2007 (OneNote for short) is probably one of the most underutilized and unrecognized software in the Office 2007 Suite. Granted I had only discovered it myself recently, but it has made such an impact that I feel that I should spread the word… um, OneNote.
The Software is a combination of Microsoft PowerPoint and Microsoft Word, without all the unfriendliness of the former and the infuriating formatting problems of the later. This Tutorial will be a quick intro into a very useful piece of software.
Step One
Open the program [Directory map is based off the computers in the EIT Lab (DI 334)]
Start > All Programs > Microsoft Office > Microsoft Office OneNote 2007
Step Two
If this is the first time this software was opened on a particular computer, it will open three “Notebooks” that will give you a basic tutorial on three different aspects of how to use the software. If not, then it will open to the last configuration of OneNote
For now, go to
File > New > Notebook…
And make a name for this notebook. Do not worry, it can be changed at anytime. For now let us call it “Playing Around”
NOTE: There is also a tab button on the menu bar to create a new notebook
NOTE: If the tutorials do not show up and you would like to see them, you can open them by doing:
File > Open > Notebook… > OneNote Notebooks
Then open either “OneNote 2007 Guide”, “Work Notebook” or “Personal Notebook” which are the three tutorials created by the software.
Step Three
At this point, you can do whatever you want:
By clicking anywhere on the white area and typing, a text box will automatically be created to fit your text. Also, all text boxes can be dragged to any place you want on the screen to fit your wants or needs.
The text box has a built in auto formatting which is intuitive, customizable and easy to use for either text writing or outline making:
· Write the heading of the outline (i.e. I, A, 1, a, i, etc.), period, tab then write your first topic.
· When you press enter, it will go to the next character in whatever heading you started with.
· Pressing enter and then tab will downgrade it to a subheading with a new heading character. (pressing tab twice will stop auto formatting)
· Pressing enter and then backspace will go to the previous heading, if any. (pressing backspace twice will stop auto formatting)
· Pressing enter twice will stop the auto formatting of outlines
· To move a heading to another section or to downgrade or upgrade a particular point, mouse over the text and a directional area will appear at the start of the text. Simply drag and drop where you want the text to be and the software will automatically reassign all relevant heading values.
NOTE: If you would like to add new headings or restart auto formatting you can do so by clicking where you would like to add things to your outline and then press enter then write your text or press backspace or tab
NOTE: If you are unhappy with any of your heading titles, you can modify them by double clicking the heading. It will open a menu on the right side of the OneNote window with a list of all the basic outline headings. You can also customize the headings at the bottom of the menu [“Customize numbering”] and play around with the parameters there
The following is an introduction to screen captures and creating tables in One Note.
Screen Capture
Important: Be sure to have the window(s) of the screen you want to capture open on the desktop before opening One Note 2007.
- Start > All Programs > Microsoft Office > Microsoft Office OneNote 2007 (One Note saves all previous information upon start up of the application. To uphold privacy, save your work as a One Note Notebook)
- Move the cursor to the One Note toolbar and follow these instructions: Insert > Screen Clipping OR using the sub toolbar, click on the camera icon.
- After clicking the Screen Clipping button, the entire desktop should be a transparent white screen. In the right bottom corner of the screen, a yellow message box will pop up giving you further instruction on screen clipping
- Drag and drop the cursor to the size desired.
- The screen capture will appear immediately in your One Note pages.
Creating Tables
- See Step 1 in the screen capture tutorial.
- Travel the cursor to the One Note toolbar and follow these instructions: Table> Insert Table
- After clicking the Insert Table button, a pop up to construct the table will appear on the screen. Adjust the columns and rows as desired.
- Use the Table option on the main toolbar to edit your toolbar (adding and/or deleting columns/ rows, deleting columns and rows etc.)
